Overview

The Booking Cleanup Settings help you automatically remove old booking records and related files from your Event Builder database. By enabling automatic cleanup, you can keep your booking database organized, reduce unnecessary storage usage, and improve website performance.

You can configure when bookings should be deleted, select which booking statuses are eligible for cleanup, remove associated files such as PDFs and QR tickets, and receive reminders before cleanup takes place.

These settings are especially useful for websites that handle a large number of event registrations.


Automatic Cleanup

Overview

The Automatic Cleanup section controls when old bookings are automatically removed from your website.

Instead of manually deleting outdated bookings, Event Builder can automatically clean them based on a specified time period.


Enable Automatic Cleanup

Enable or disable automatic booking cleanup.

Options

  • Enable
  • Disable

Default: Disabled

When enabled, Event Builder periodically checks your booking records and removes bookings that meet your configured cleanup rules.

  • Removes outdated booking records.
  • Improves website performance.
  • Eliminates manual maintenance.

Cleanup Based On

Choose how the cleanup schedule is calculated.

Available Options

  • Days
  • Hours

Days

Bookings are deleted after the specified number of days.

Recommended for:

  • Conferences
  • Seminars
  • Public Events
  • Long-term record management

Hours

Bookings are deleted after the specified number of hours.

Recommended for:

  • Temporary bookings
  • Testing environments
  • Short-lived registrations

Delete After (Days)

Specify how many days a booking should be kept before it is automatically deleted.

Configuration

  • Minimum: 1 Day
  • Maximum: 365 Days
  • Default: 30 Days

Once the selected number of days has passed, eligible bookings will be removed automatically.

This option is available only when Cleanup Based On is set to Days.


Delete After (Hours)

Specify how many hours a booking should remain before being deleted.

Configuration

  • Minimum: 1 Hour
  • Maximum: 24 Hours
  • Default: 24 Hours

This option is useful for testing or temporary booking environments.

It becomes available only when Cleanup Based On is set to Hours.


Cleanup Booking Status

Overview

Choose which booking statuses are eligible for automatic cleanup.

Only the selected booking statuses will be deleted when the cleanup process runs.

This gives you complete control over which booking records should be retained.


Delete Paid Bookings

Automatically remove bookings that have been successfully paid.

Options

  • Enable
  • Disable

Default: Disabled

Enable this option only if you no longer need historical paid booking records.


Delete Refunded Bookings

Automatically remove refunded bookings.

Options

  • Enable
  • Disable

Default: Disabled

Useful for periodically clearing completed refund records after they are no longer required.


Delete Failed Bookings

Automatically remove bookings that failed during payment.

Options

  • Enable
  • Disable

Default: Disabled

Recommended for keeping your booking database free of unsuccessful payment attempts.


Delete Pending Bookings

Automatically remove bookings that remain in a pending state.

Options

  • Enable
  • Disable

Default: Disabled

This is useful for clearing abandoned bookings that were never completed.


Delete Cancelled Bookings

Automatically remove cancelled bookings.

Options

  • Enable
  • Disable

Default: Disabled

Helps keep your booking records clean by removing cancelled registrations after a specified period.


Delete Checked-in Bookings

Automatically remove bookings that have already been checked in.

Options

  • Enable
  • Disable

Default: Disabled

Suitable for organizations that do not need to retain attendee history after events have concluded.


Delete Related Files

Overview

When booking records are deleted, Event Builder can also remove all associated files to prevent unused files from occupying server storage.

This ensures your uploads directory remains clean and organized.


Delete Booking Ticket PDF

Automatically remove the main booking confirmation PDF.

Options

  • Enable
  • Disable

Default: Enabled

This includes downloadable booking confirmation documents generated during registration.


Delete Attendee Ticket PDFs

Automatically delete individual attendee ticket PDFs.

Options

  • Enable
  • Disable

Default: Enabled

This is particularly useful for events with multiple attendees per booking.


Delete QR Tickets

Automatically remove generated QR code ticket images.

Options

  • Enable
  • Disable

Default: Enabled

Deleting unused QR tickets helps reduce storage usage after bookings are removed.


Delete Uploaded Files

Automatically remove any uploaded files associated with deleted bookings.

Options

  • Enable
  • Disable

Default: Enabled

Examples include:

Only files associated with deleted bookings are removed.


Show Cleanup Reminder Badge

Display an administrator reminder before automatic cleanup runs.

The reminder badge provides advance notice that booking records are scheduled for deletion.


Reminder Before Delete (Days)

Choose how many days in advance administrators should receive cleanup reminders.

Configuration

  • Minimum: 1 Day
  • Maximum: 30 Days
  • Default: 7 Days

The reminder helps administrators review bookings before automatic deletion begins.

This option is available only when Show Cleanup Reminder Badge is enabled.


Send Cleanup Email Notification

Send an email notification before automatic cleanup is performed.

Options

  • Enable
  • Disable

Default: Disabled

Email notifications help administrators monitor scheduled cleanup operations, especially on websites with multiple administrators.


Notes

  • These settings apply globally to all Event Builder bookings.
  • Only booking statuses that are enabled for cleanup will be deleted.
  • Related files are removed only when their associated booking is deleted.
  • Cleanup reminders help prevent accidental data loss by notifying administrators before deletion.
  • Automatic cleanup permanently deletes booking records and associated files. Ensure important booking data has been backed up before enabling automatic deletion.
  • Changes take effect immediately after saving the settings.
